Recalling an email in Outlook can work, but only under specific conditions. If the recipient is in the same Microsoft 365 organisation, they haven’t opened the message yet, and both mailboxes are on Exchange, you have a real chance. If any of those conditions don’t apply, the recall will fail silently and the email stays in their inbox. How to Recall an Email in Outlook (Desktop)

These steps apply to the classic Outlook desktop app on Windows with a Microsoft 365 or Exchange account.

  1. Open your Sent Items folder.
  2. Double-click the email you want to recall to open it in its own window.
  3. Go to the Message tab in the ribbon.
  4. Click Actions, then select Recall This Message.
  5. Choose either Delete unread copies of this message or Delete unread copies and replace with a new message.
  6. Tick the box to receive a notification for each recipient if you want confirmation.
  7. Click OK.

Note for newer Outlook versions: In the updated Outlook for Windows, the recall option may appear under the three-dot menu or via a Recall Message button near the top of the email. Microsoft has been rolling this out progressively across M365 tenants.

How to Recall an Email in Outlook on the Web

The web version of Outlook (outlook.office.com) now supports message recall for Microsoft 365 accounts.

  1. Go to your Sent Items folder.
  2. Open the email you want to recall.
  3. Click the three-dot menu () at the top of the message.
  4. Select Recall Message if the option is available.
  5. Confirm the action in the dialogue that appears.

  • Both you and the recipient are in the same Microsoft 365 or Exchange organisation
  • The recipient has not yet opened the email
  • The email is sitting in their inbox, not a subfolder or a rule-filtered location
  • The recipient is using Outlook on desktop or web, not a mobile app
  • No automatic processing rules have moved or forwarded the message

When all of these line up, recall works well. Outside of that narrow window, you’re dealing with the second option below.

When Recall Won’t Work

This is the part most people find out the hard way. Recall will fail in the following situations:

  • External recipients: Anyone outside your organisation cannot have emails recalled. Full stop.
  • Already opened: If the recipient has read the email, the recall fails. They will also receive a notification that you tried to recall it, which can be more awkward than the original mistake.
  • Mobile apps: Emails opened on iOS or Android mail apps, including the Outlook mobile app, cannot be recalled.
  • Gmail, Apple Mail, or third-party clients: Recall only works within the Microsoft ecosystem. Gmail users will receive the recall request as a separate email, and the original stays untouched.
  • Shared or delegated mailboxes: Recall behaviour can be unpredictable in shared mailbox scenarios.

What to Do When Recall Won’t Work

Take a breath. A follow-up email sent quickly and professionally handles most situations better than a failed recall attempt.

Keep it short and direct. Something like: “Apologies for the previous email. Please disregard the attachment I sent in error. I’ve included the correct version below.”

If you sent sensitive information to the wrong person, contact your IT team immediately. They may be able to take action at the server level or advise on next steps, particularly if data privacy obligations apply.
